1. Website visitors
What we collect. When you submit a form, book a demo, or contact us by phone, email or WhatsApp, we collect the details you provide: name, work email, phone number, company, enquiry type and message. When you browse the site we collect usage information — IP address, browser type, device and pages viewed — through cookies and similar technologies (see Section 5), including Google Tag Manager and the Meta (Facebook) Pixel.
Why, and on what basis. We use this information to respond to enquiries, deliver demos, provide and improve our services, communicate with you (including on WhatsApp where you contact us there or consent to it), analyse website usage, and keep the website secure. We rely on your consent (analytics and marketing cookies, marketing messages), our legitimate interest in running and improving the website and responding to business enquiries, and steps taken at your request prior to a contract. We do not sell personal information.
Retention and sharing. Enquiry records are kept only as long as needed for the purposes above or as required by law. We share information only with: (a) service providers who help us run our website, communications and analytics; (b) AI interface providers as described in Section 2 for TEKAI customers; (c) professional advisers; and (d) authorities where required by law. All providers are bound to use information only for the purposes we specify.
2. TEKAI product data processing
TEKAI connects approved AI assistants (Claude, ChatGPT and Perplexity) to a customer's live SAP Business One system through the TEKAI connector, using the Model Context Protocol (MCP). This section explains how data is handled when your organisation uses TEKAI.
Roles
The customer is the data controller of its SAP Business One data. TEKROI acts as a processor / service provider operating the TEKAI connector on the customer's behalf, under the customer's signed agreement.
What is processed
The SAP Business One records the customer authorises for TEKAI access, user prompts and questions, the answers generated from live queries, and action and audit logs.
AI providers
Queries are processed through the customer's own AI subscription (Anthropic Claude, OpenAI ChatGPT, or Perplexity — customers bring their own accounts); those providers' terms and data policies apply to that leg of processing. TEKROI does not use customer business data to train AI models — answers come from live queries at ask-time.
Access controls
Users are provisioned by the customer. AI assistants never access the database directly: every request flows through the TEKAI connector, which enforces per-user provisioning, scope controls and authentication. Access is read-only by default; write actions are enabled per deployment, confirmed by the user before posting to SAP Business One, and logged.
Logging and retention
Every question, answer and action is logged with the user, timestamp and scope, for audit and support purposes. Retention specifics — including log retention and data residency — are documented in the per-customer security workbook that accompanies each deployment.
Infrastructure and transfers
Each TEKAI deployment runs on per-customer dedicated infrastructure. Query context sent to an AI provider may transit to that provider's processing region under the customer's own subscription; the customer's agreement with its AI provider governs that transfer.
WhatsApp delivery
Where a customer configures report delivery via WhatsApp, delivery uses Meta's WhatsApp Business services; the message content is the report the customer configured.
Demo data
Demos run on demo databases, not prospect production data, unless the prospect explicitly connects their own system. Data shared during demos or trials is used only to run the demo and is deleted afterwards on request.
3. Recruitment
Resumes and applications sent to hr [at] tekroi.com or submitted through our Careers page are used solely to evaluate you for roles at TEKROI. We retain application materials for up to 12 months to consider you for future openings, unless you ask us to delete them earlier by writing to hr [at] tekroi.com . Candidates have the same rights over their data as described in Section 4.
4. Your rights
Depending on your location, you may have rights to access, correct, delete, or object to the processing of your personal information, and to withdraw consent at any time. To exercise any right, email contact [at] tekroi.com ; we respond within the timelines required by applicable law. For individuals in India, India's Digital Personal Data Protection Act, 2023 applies to our processing. For visitors from the EU or UK, the GDPR / UK GDPR rights above apply, and where personal information is transferred outside your country — including between our India and Nepal offices or to service providers abroad — we apply appropriate safeguards consistent with applicable law.
5. Cookies
We use the following categories of cookies and similar technologies on tekroi.com:
- Necessary: strictly required functionality, including storing your cookie-consent choice itself. These do not wait for consent.
- Analytics: Google Tag Manager, used to understand how the site is used. Loads only after you accept.
- Marketing: Meta (Facebook) Pixel and Google Ads conversion tracking, used to measure our marketing. Load only after you accept.
On your first visit, a consent banner lets you accept or decline non-essential cookies; analytics and marketing tags do not fire until you accept. You can change your choice at any time via the "Cookie preferences" link in the footer, and you can also control cookies through your browser settings.
6. Changes and contact
